This tour budget template gives artists and small touring teams a stacked way to plan revenue, expenses, actuals, and cash timing. It is educational only: tax treatment, deal terms, insurance, payroll, legal, and financial interpretation depend on context and qualified advice.

Tour Assumptions

Record dates, routing, party size, deals, currencies, owners, payment timing, and which amounts are confirmed or illustrative estimates.

Revenue by Show and Type

List revenue by show and type, separating contracted income from projections. Add the source document and approval status for each line.

Fixed, Variable, and Per-Show Costs

Separate committed tour costs from costs that vary with shows, route, people, rooms, or production. Keep per-show costs visible without hiding shared travel-day costs.

Expense Categories

Track travel, lodging, crew, production, freight, insurance, visas or permits, marketing, commissions, taxes or withholding, contingency, and ongoing home costs when applicable.

Budget vs. Actual and Cash Timing

For each line, include budget, actual, variance, payment date, owner, source document, notes, and approval status.

Template Formulas

Projected operating result = projected revenue minus projected expenses. Actual operating result = actual revenue minus actual expenses. Variance = actual minus budget. Average cost per show = total tour expenses divided by number of shows. Interpretation and tax treatment depend on context.

Illustrative Miniature Example
